Program Administrator for Youth and Campus Ministry

The successful candidate will have a deep faith in Jesus Christ, a love for the church, and a passion for the faith development of youth and college students.

She/he will be a master at administrative details, being able to anticipate the needs of a complex program while having the interpersonal skills to connect with the youth and adult volunteers, college students and campus staff.

This position will be responsible for managing the programs and taking care of all administrative details. In addition, when the Associate Pastor cannot be present, he/she will be able to step forward to lead events. 
 
This person reports to the Associate Pastor for Youth and Campus Ministry and will do other duties as assigned by the Associate Pastor or Senior Pastor.

1. Administrate all details for a successful ministry

  a. Essentials

    i. Function as Associate Pastor’s Receptionist

    ii. Maintain Associate Pastor’s Calendar

    iii. Facilitate information flow by organizing and filing information, checking mail, etc

    iv. Basic Knowledge of Office 360 Products: Outlook, Word, Excel, PowerPoint

    v. InDesign for production of posters, flyers, etc, graphics for web (will train; some self-training)

    vi. ShelbyNext products: Church Management System, Calendar, Giving for registration for events (will train; some self-training)

    vii. Operation of Standard Office Equipment: Phone System, Copiers, Postage Machine, Folder, Cutters, Address Labeler

    viii. Internet Research

    ix. Ordering Resources and Educational Materials

  b. General Duties

    i. Weekly Email: Craft and send email through ShelbyNext to Youth and Parents

    ii. Church Website: Maintain the Youth and Campus Ministries pages

    iii. Church Newsletter: Submit information regarding upcoming events/programs by 13th of each month

    iv. Organize Events

      1. Work within Shelby to Set up Events

        a. Calendar

        b. Registration Forms

      2. Publish events

        a. Print Posters; mailings; postcards

        b. Emails to Youth and Parents

        c. Online – Twitter/Facebook/Instagram

        d. Church Website

      3. Submit Payments to Church Financial Officer

      4. Collect and Organize Needed Forms (Medical Release, Behavior Covenants, Medication, etc); compile in binder for each trip

      5. Make travel arrangements for youth trips, such as airline reservations, ground transportation, hotel/retreat reservations, etc. 

2. Be present at Youth & Campus Ministry to manage events

  a. Sunday evening youth functions, typically 5-7 PM for youth programs

  b. Youth Committee meetings held once a month, usually on the second Wednesday of the month

    i. Take minutes

    ii. Ensure details are attended to

  c. Campus Ministry board meetings typically held one day per month.

  d. Youth group gatherings to include but not limited to the following:

    i. Sunday night Youth Group

    ii. Local mission projects

    iii. Day trip outings

    iv. Up to 4 weekend / overnight retreats

3. Leadership

  a. Overnight youth trips when Associate Pastor cannot be present
